About Millie
Millie is a new kind of maternity clinic built by moms and care providers who’ve been there. We are reimagining the hospital-based U.S. maternity experience with a tech-enabled OB/Midwifery clinic model extended with virtual care and remote monitoring. About the role
The Clinic Manager/Front Desk Associate is a dual-role position that combines leadership responsibilities with customer service duties. As a Clinic Manager, you will oversee the day-to-day operations of the clinic, ensuring that processes run smoothly, while also managing staff, supporting patients, and ensuring a high level of service delivery. As a Front Desk Associate, you will be the first point of contact for patients, providing administrative support, scheduling, answering phone calls, and handling various office duties.
Your Clinic Manager responsibilities:
- Oversee daily operations and ensure the clinic runs efficiently
- Directly manage Medical Assistants and support staff
- Ensure staff are following clinic policies, procedures, and regulatory standards
- Collaborate with all members of the clinic team to ensure daily operational success.
- Monitor and maintain clinic supplies, inventory, and equipment
- Coordinate meetings with vendors and clinical team as needed
- Report to Director of Clinical Operations
Your Front Desk Associate responsibilities:
- Maintain clinic staff schedules and ensure there are no gaps in daily scheduling
- Responsible for patient check in/out, manage referrals, answer phones, and schedule patients with dedicated administrative time for Clinic Manager tasks
- Collaborate with clinicians to ensure workflows are streamlined
About you
We are looking for a compassionate and professional Front Desk Associate/Clinic Manager who:
- Can multitask while keeping up with high patient volumes
- Has excellent verbal and written communication skills for patient outreach
- Has strong organizational skills and attention to detail
- Can work independently as well as participate in team problem solving
- Strong leadership skills and experience managing cross functional teams
- Proficiency and experience using Google Workspace
- Passionate about patient care and Millie’s mission and values
- Located in San Jose, CA
Qualifications
- 2-4 years of experience in a patient care setting, ideally in a reproductive health setting
- 2-3 years of leadership or management experience
- Minimum of 1 year experience working in Women’s Health/OBGYN setting
- Strong knowledge of billing and insurance questions
- Proficiency in computer technology such as navigating different internet browsers and using multiple software systems simultaneously
- Ability to work independently
